We will only use your personal information for the reasons stated on the Registration Form which you have completed, namely: -

 

Name(s) - Required for Class Register and Examination Entry Forms (if exams are taken)

 

Address –. Required to send you newsletters etc if an email address is not given

 

Landline Number – Required to contact you in case of class change, emergency

 

Mobile Number – Preferred means of contacting you by text in case of class change, emergency

 

Email – Preferred means of sending you information e.g. newsletters if the pupil is absent from class when the newsletters are issued. Newsletters usually relate to our Holiday dates and events

 

Telephone Number of a person who can be contacted in an emergency – self-explanatory.

 

Pupil’s date of birth- For Examination Entry (if exams are taken)

 

You have the option of not completing all sections of the Registration Form, however, for business administration purposes your name(s), contact number and emergency contact name and number are required.

 

Your information will not be passed to third parties, unless at your request, but please note that there may be an obligation for me to do so if certain situations arise, e.g. in case of an accident/emergency or to satisfy legal and/or financial obligations.

 

The Registration Form will be kept for 12 months necessary to meet legal and financial obligations. In addition to the registration form, a class register is kept. This only contains the pupil's name and record of attendance, no personal information. Registers are only kept for a period of 6 years to comply with HMRC and accounting requirements. My Accountant and/or HMRC may request to see class registers.  All forms will be stored with 3 levels of security and will be destroyed by shredding.

 

You have the right to see the Registration Form which you have completed and to receive a copy of it if you so wish.  You have the right to request that I delete/amend any of the information held on the Registration Form.  Please ensure you keep me informed of any changes to the details which you have provided.  I cannot keep you informed if I do not hold up-to-date information.
